MBDA is looking for an experienced HR Administrator to undertake a varied role within the resourcing team at their Stevenage site.

Job Title: HR Administrator

Rate: £16 per hour

Location: Stevenage

Dynamic (hybrid) working: 1-2 days per week on-site due to workload classification

Security Clearance: British Citizen or a Dual UK national with British citizenship

Restrictions and/or limitations relating to nationality and/or rights to work may apply. As a minimum and after offer stage, all successful candidates will need to undergo HMG Basic Personnel Security Standard checks (BPSS), which are managed by the MBDA Personnel Security Team.

The opportunity:

  • To co-ordinate and organise interviews general hire. Liaising with managers and BSO's.
  • Booking interview on Onehr
  • Sending confirmations to both mangers and candidates set up waves
  • Monitor Onehr for Conditional Offers
  • Action Conditional offers updating contract requirements outside the system
  • Monitor Onehr for Firm Offers
  • Monitor Onehr for all ECP offers
  • Monitor emails from Occupational health for candidate status – if required update advisors on any issues, update Onehr with status
  • Monitor email from Security – updating log, update Onehr with security status, request start dates
  • Chasing Candidates for missing data
  • Updating SAP with pension status
  • Updating payroll spreadsheet with bonus payments (when applicable)
  • Processing Hedd checks
  • Loading data into Onehr
  • Ensuring any changes to process are forwarded to the On boarding Team for actioning
  • Generating Clock numbers for CW staff – updating SAP
  • Updating holiday status for all staff on start date
  • To assist, when required, the administration process for leavers to ensure smooth transition and exit from the business for both general and ECP hire.
  • Confirmation to leaver and managers
  • Updating all areas of business of the up and coming leaving
  • Update Onehr with leaver status- reason
  • Advise Pensions of leavers, produce PLNF and forward on
  • To liaise regularly with the Resourcing Administration team with a focus on identifying and agreeing ways of continually improving processes and practices with a particular emphasis on cost savings.
  • Ensure all HR database Onehr/SAP information is regularly updated, with all changes and amendments.
  • Support the HR Admin Team Leader as required.
  • Co-ordination and set up of psychometric testing as required for both general hire and ECP.
  • Organise and prioritise own workload ensuring all deadlines are met reviewing and monitoring priorities to ensure quality and standards are maintained.
  • Investigate problems, queries and issues, presenting conclusions and discussing recommendations.
  • Act as a member of the wider Resourcing UK team, participating in meetings and contributing to the planning of activities.
  • Any ad-hoc administration tasks required.      
  • Responsibility to support and deliver the UK Early Careers Programmes (ECP)
  • To co-ordinate and organise interviews.
  • Liaise with procurement and finance internally to carry through supplier risk checks, PO's and invoicing to ensure suppliers are paid on time.
  • Flexibility on working some weekends to support open days and exhibitions
  • Dealing with references according to GDPR criteria
  • Processing of queries via the resourcing inboxes

DRM scanning/general housekeeping

What we're looking for from you:

  • Possess previous recruitment administration experience within a busy recruitment/resourcing function.
  • Experience of working under pressure
  • Ability to multi-task with a range of relatively complex support/administration activities
  • Excellent communication skills both written and verbal
  • Ability to work autonomously and manage own workload
  • Strong planning and organisation skills with the ability to multi-task.  
  • Monitor and prioritise workflow to achieve deadlines.
  • Patience and courtesy to provide an initial contact point for all HR queries
  • Excellent PC skills – MS Office, OneHr, SAP, Recruitment systems experience desirable
  • Be a self starter and motivated to execute this role to an excellent standard
  • Respect and maintain confidentiality
  • To have a proactive approach and flexibility to support team and colleagues where needed
