The role

Located on the UK MOD BUTEC which delivers Test and Evaluation Trials for the UK & International defence market, we are looking to appoint a Services & Maintenance Coordination Assistant providing direct support to a team of Multi-skilled Estates Maintenance personnel on site at BUTEC and Support Annual leave and absence for the Maintenance Co-ordinators.

In this role you will ensure that facilities maintenance tasks are assigned, and subsequently reconciled for auditing requirements.

The role will be part of a team reporting directly to site based Team Lead Property Operations

What I will be doing:

  • Providing planning support to the Property Operational Leads enabling effective facilitation and co-ordination of third party contractors coming to site, including but not limited to - contractor tasking, contractor induction, and gathering of records necessary for Health & Safety inductions.
  • Ensuring internal estates maintenance and 3rd party soft services supplier resource priorities align to meet the business demands. When necessary acting in the capacity of Deputy.
  • Supporting the site's delivery of the maintenance budget through prioritising work, reconciling demands, supporting the team with purchasing procedures ensuring auditable records maintained
  • Act as deputy for the Site Waste Coordinator, ensuring records associated are maintained to Industry Standards.
  • Lead on distinct assurance elements as set out by the Group Lead Property Operations and Team Lead Property Operations such as monitoring and tracking actions that demonstrate compliance to ISO standards. Where necessary providing administrative support to the wider Property Operations team for external and internal audits
  • Providing front of office capability for all enquiries coming to the Property Operations management cell.

What do I need?

The successful candidate will ideally have a strong IT skill set, with good working knowledge of ISO standards and the compliance regime required to demonstrate such, able to provide advice, assurance and best practice (with relevant qualifications to support your experience). You will have experience dealing in subcontractor services.
